Checklist for Promoting Your Campus Events

PROMOTE!

UGA INVOLVEMENT NETWORK (UGAin)

It's important to post your major events to the UGA Involvement Network (UGAin). With more than 675 organizations, UGAin is a powerful tool that allows students to make the most of their college experience by finding organizations that match their interests, finding campus events and becoming involved. Student Organizations use UGAin to become a registered student organization, and once registered, they use UGAin to assist in organizing and managing operations of the organization. This includes roster management, member communications, scheduling and tracking trips, obtaining co-curricular transcripts and much more.

 

UGA MASTER CALENDAR

It is essential that you post all of your events to the UGA Master Calendar. There are several reasons: 1) The Master Calendar provides a permanent record of happenings on campus, and you want to make sure your organizations is well represented; 2) the University public relations staff and webmaster look to the Master Calendar for story ideas and for items to feature on the UGA homepage; and 3) other units on campus sometimes pull feeds from the calendar to their own homepages so students can see what's happening on campus.

 

ADVERTISING

Will your budget support paid advertising? Red & Black? Athens Banner Herald? PSAs on WUOG or WUGA? Is print or broacast advertising even necessary? Consider these questions with your adviser or ask us.

 

ART WALL (TATE STUDENT CENTER)

The Art Wall is located in the Tate Student Center at the beginning of the concourse that connects the original building to the expansion. Either the entire wall or a half-wall may be reserved for two-week periods. The wall is reserved through Campus Reservations.

 

BUS CARDS

What do you do when you're stuck on a crowded UGA bus and don't want stare at other riders? You read the bus cards, of course. They are a cost-effective way to reach a large segment the student body. Bus cards are coordinated through Print & Copy Services in the Tate Student Center.

 

ELECTRONIC SIGNS/SCREENSAVERS IN TATE

There are seven large monitors throughout the Tate Student Center and several hunderd screensavers at student and staff workstations throughout Tate and Memorial hall; these are available for adverstising programs sponsored by Student Affairs departments and departmentally advised student organizations to promote their events. NEWS RELEASES

News releases should be distributed no later than two weeks out (10 business days) from your event. For your organization's major signature events, we can write your press release for you; however, you are free to write your own, then send it to us for editing. Releases are distributed through the UGA News Service. Local, regional, statewide and specialized distribution to specific publications is available. Release must follow UGA style. POSTERS & FLYERS

Posters and flyers can be posted in Tate and Memorial Hall through the Tate Information Desk (up to 11"x17"). You can also post your promotional images in the Miller Learning Center. Check in with the security desk near Jittery Joe's. Often they'll authorize you to put the posters up on bulletin boards yourself.

Useful Tip: Print extra bus cards and let them serve as posters as well.

 

University Housing will take up to 240 posters/flyers for posting in the residence halls from departmentally advised registered student organizations. Other student organizations may submit up to 64. Click here to see a breakdown of distribution by community. Posters should be delivered to the attention of Rick Gibson, Residential Programs and Services on the first floor of Russell Hall at 515 Baxter Street.

 

SOCIAL MEDIA

Social media is essential to getting word out about your events. Don’t forget to post events to you Facebook profile as well as Twitter, Instagram and other platforms you may use. View UGA's Social Media Guidelines for some useful tips.

 

WEB UPDATES

Have you updated your website to include your most recent events? Whether you maintain your own site or professional staff do it for you, don't let your web site become stale and outdated. You'll lose visitors, and once they're gone, it's difficult to get them back.
